Inventory and stock
Track how many you have, add stock when goods arrive, count the shelf, read the stock history and print barcode labels.
Stock tells buyers whether they can order and tells you when to buy more. Every product or variant can have a stock number. When an order is placed it goes down, and when goods arrive you add to it.
Before you start#
- You have products: Add a product.
- For the full screens (stock in, stocktake, history, labels) the Inventory part must be on. It belongs to Accounting; if it is off, the page offers Turn on Inventory. See Tools and your menu.
Stock in the product editor#
In Stock & SKU type Stock on hand (total).
- Orders lower it, and buyers cannot order once it reaches zero.
- Reserved by orders shows how much of your stock is held by orders.
- If you leave it empty, the product is Not tracked and always shows as available.
- Change the number, and the difference is saved as a stock adjustment you can see in Stock history.
- Orders that nobody confirms in time can be cancelled automatically so their stock goes back on sale (Settings > Checkout, Auto-cancel unconfirmed orders).
The Inventory screens#
Open Inventory (in the Products menu).
| Screen | What you do there |
|---|---|
| Inventory | See stock, prices and barcodes of every product. Expand a product to see its variants, filter, and look up a product by scanning its code |
| Stock in | Scan or search each item that arrived. Scanning the same item again adds one more |
| Stocktake (stock count) | Count the shelf: choose Scan: each scan counts one or Type the counts, see On hand (system), Counted and Difference, then apply |
| Stock history | Every change: sales, stock in, counts, adjustments and returns. Filter by reason, dates or product |
| Print barcode labels | Choose a label size, copies and what shows on the label, then print or save as PDF |
- 1
Receive goods
Open Stock in, scan or search each item, check the quantities and confirm. Add a note if you like.
- 2
Count the shelf
Open the stocktake. Add the items one by one by scanning, or press Add every variant that counts stock (you can limit it to one category). Enter the counted numbers.
- 3
Apply the count
Add an optional note and apply. The differences are saved as stock counts. Until you apply or discard, your count stays on this device.
- 4
Print labels
On the Inventory page select variants, press Print barcodes, choose the size and copies, then Print or save as PDF. Keep the print scale at 100%.
Stock value#
With Accounting on, the Inventory part also shows what your stock on hand is worth at cost price and at selling price, and the profit in between. Only the owner sees cost-based figures. See Accounting overview.
Common problems#
A number looks wrong
Open Stock history, search the product and read the reasons: a sale, a stock in, a count, an adjustment or a return. The history shows who made each change.
Buyers say a product is out of stock but I have it
Check the stock number of that variant, and the Reserved by orders number. Raise the stock with a stock in or an adjustment.
Print labels look wrong
Choose the real size of your label roll, keep the print scale at 100%, and check the preview. A very long SKU may not fit a narrow label.
