Returns and refunds
Record the items that came back, put resellable stock back on the shelf, and log the refund you sent the buyer.
When goods come back, record it on the order so stock, money and accounting stay right.
Record a return#
- 1
Open the order
Returns can be recorded for an order that is With courier, Delivered, Delivery failed or already Returned.
- 2
Click Record return
The form asks how many pieces of each item came back.
- 3
Split the pieces
For each item enter Resellable, Damaged and Missing. Resellable pieces go back to stock; damaged and missing ones do not.
- 4
Add a deduction if needed
Deduction (optional) is for things like the return delivery charge or damage.
- 5
Enter the refund, if you paid one
Fill Refund paid, Refund method (for example bKash) and a Transaction / reference number. A refund needs a method and a reference number or a note, and it cannot be more than the money received.
- 6
Click Save return
The order shows a record, and the payment status becomes Partly refunded or Refunded.
What happens to each piece#
| Piece | Stock | Money |
|---|---|---|
| Resellable | Goes back on sale | Counted in the return |
| Damaged | Does not return to stock | Counted as a loss in accounting where it is switched on |
| Missing | Does not return to stock | Counted as a loss in accounting where it is switched on |
Refund an online payment#
If the buyer paid through a gateway, the order's payment card shows Refund online with a Refund amount. The money goes back through the provider and the order's paid and refunded totals follow. SSLCommerz and bKash have a refund call; for other providers, refund in the provider's own panel and record the return on the order.
Common problems#
The refund is refused because of the reference.
A refund above zero needs both a method and a reference number or a note. Fill them in.
A payment arrived after I cancelled the order.
The order shows a warning that the payment arrived late. Refund it, online if the provider allows it.
